Front Desk Assistant - Student Worker for our office in Copenhagen K

 

Our office in Copenhagen K is growing, and we’re looking for a Front Desk Assistant to join a team of three and help manage a range of administrative, communication, and service tasks as part of our growth journey. You’ll be involved in both new and ongoing tasks and act as the go-to person for colleagues regarding administrative and social matters.

 

This is a student worker position for 12–15 hours per week, with the possibility of more hours. Working hours are between 08:00–16:00, each shift lasting approx. 6 hours. This means you’ll typically work 2 days a week, and occasionally 3. 

 

Since we already have a fixed schedule, it’s important that you’re available primarily on Mondays and Wednesdays. Occasionally, working hours may vary due to events or guests visiting the office.

 

A Key Role in a Growing Office
As part of the Front Desk Team and reporting to our Front Desk Manager, you’ll join a well-established team currently consisting of a Front Desk Manager and two Front Desk Assistants in Copenhagen, as well as a several colleagues in the Front Desk at our headquarters in Aarhus. With support from the team, you’ll handle a variety of practical and administrative tasks at our two offices in central Copenhagen and eventually help when we move to larger premises in spring of 2026.

 

The reception in Copenhagen handles a wide range of tasks—from welcoming guests to assisting various projects and teams with interesting assignments.
Initially, the Front Desk Assistant will mainly handle practical tasks such as preparing lunch, refreshments for meetings, and other office assistant duties.

 

As the office evolves, so will the role. Over time, the tasks will become less practical and more administrative in nature.

 

As a Front Desk Assistant, no two days are the same. You’ll quickly gain insight into many aspects of the company, which is one of the great benefits of working in reception. You’ll be a point of contact both internally and externally, responsible for ordering office supplies, refreshments, and lunch.

Each month, we welcome new colleagues, and you’ll help plan their onboarding before, during, and after their start. You’ll also:

  • Set up and clear away lunch
  • Welcome guests and be the face of the office
  • Collaborate and communicate with external suppliers
  • Create info emails and other communications for the intranet, info screens, emails, etc.

 

Service-minded and independent coordinator & communicator
We hope our future Front Desk Assistant has some previous experience in the service industry, but mindset is what matters most. It is important, that you enjoy helping colleagues and guests and are open to a wide and varied portfolio of administrative and practical tasks.

 

We expect our new colleague to:

  • Be welcoming and enjoy having a central role in the office
  • Work independently
  • Be ready to lend a hand with tasks both big and small
  • Take ownership of tasks and make things happen
  • Speak and write both Danish and English fluently.
