Portfolio & Capacity Manager for Systematic's Group IT Strategy

 

Can you bring clarity and control to a fast-moving portfolio, making capacity visible, commitments realistic, and decisions easier to steer?

 

The job

 

Group IT (GRIT) is Systematic's internal IT function. It supports all business units with infrastructure, systems, integrations, and governance. As Portfolio & Capacity Manager, you will keep our IT portfolio governed, visible, and deliverable, and give the organisation a clear picture of whether commitments match available capacity.

 

This role sits close to the top of the organisation. The portfolio and capacity overview you maintain is used directly by our CIO and senior leadership to decide what Systematic takes on next, and what is delayed. The accuracy of your work has a direct bearing on the quality of those decisions.

 

Some of your key responsibilities will be to:

  • Own the live overview of who is working on what and how much capacity is available, by collecting, validating, and maintaining data in Excel, Power BI, or similar tools
  • Assess new project requests together with the Enterprise Architect and the Director, so we understand what committing to new work would mean for the portfolio
  • Onboard new project managers into our governance model, help them get started properly, and keep documentation consistent across the portfolio
  • Support the handover of projects from planning into delivery and operation, so nothing crosses over undocumented
  • Prepare decision-ready material for the steering committee, run the meeting cadence, and follow up on decisions and actions

 

Joining the team

 

The portfolio machinery you will operate is still being created, and you will help shape it. Our ambition is to mature the portfolio into a transparent and trusted view of what is underway, what will be delivered and when, and the value it creates. This will enable clearer communication with the business, while strengthening follow-through within IT and ensuring that capacity is aligned with demand so commitments can be delivered efficiently and to a high standard.

 

You will become part of the GRIT Strategy team, a small group where specialists and project managers work closely together to keep our internal strategy on track. Reporting to the Director of Group IT Strategy, you will take over a running portfolio process from an interim consultant and work closely with project managers, the Enterprise Architect, and GRIT leadership.

 

The team is based in Aarhus. If you are located in Copenhagen, we are open to discussing a hybrid arrangement, but you should expect regular presence in Aarhus (6–8 days per month).

 

Your qualifications

 

The most important thing you bring is solid experience from a PMO, portfolio office, or similar role in an IT organisation, combined with strong analytical skills and hands-on experience with Excel and Power BI, or similar tools, to build and maintain reliable overviews (experience with Jira is an advantage). Additionally, we expect that you have:

 

  • A good understanding of project management and agile ways of working
  • Strong communication skills and the ability to present clearly to senior stakeholders
  • Comfort exploring AI tools, like Claude, to work smarter and improve how we report and prioritise
  • Fluent English; Danish is an advantage

 

Personally, you enjoy diligent, hands-on work and take pride in keeping information complete, consistent, and current. You are comfortable following up with stakeholders when inputs are missing or unclear, and you thrive as a senior specialist who takes ownership of your domain and leads through sound judgement, structure, and attention to detail.

 

Please note that you must be able to present a clean criminal record and have lived in a NATO and/or an EU country for the past seven years as we work with security-classified projects.
